How to Manage the "Wokflow Hub"
Workflows can be set up in hubs that contain multiple Workflows as tabs in a single form window in Encompass, or every one can be a separate form window. Each Workflow will have a separate panel in the custom form created for Workflow in your environment (see "Configuration Points") where you can control the left side screen, the tab name as well as custom fields populated upon the user completing the particular Workflow. This configuration can be accessed by opening the custom input form via the Encompass Input Form Builder.
Example configuration for 3 workflow tabs in a single "hub". Each tab is controlled by a separae panel in the input form builder. The article below will go into detail on configuring a panel for one of the workflows (AUS).
Configuration Points
- Workflow# - This is the name of the Workflow that you will see when creating rules.
Example
DO NOT change the name of the Workflow - reach out to support@maceinnovations.com, if you would like this changed.
- FormName# - This controls what form is pulled in on the left (above the Workflow error messages). Change the text on the label to the exact name of the form in Encompass that you would like to use. This can be either a core or a custom form.
Example
- TabText# - This controls the tab name that the user sees. Change the text on the label to change the name displayed to the user.
Example
- SubmitCustomFieldStatus# - If you would like a field to be populated with a status upon the user hitting "submit" on the Workflow when all errors have been cleared, assign a custom field ID to this text box. The custom field needs to be a string field with a 64 character limit.
Example
- SubmitCustomFieldTime# - If you would like a field to be populated with a timestamp upon the user hitting "submit" on the Workflow when all errors have been cleared, assign a custom field ID to this text box. The custom field needs to be a string field with a 64 character limit.
Example
- SubmitCustomFieldUser# - If you would like a field to be populated with the user id of the current user in file upon the user hitting "submit" on the Workflow when all errors have been cleared, assign a custom field ID to this text box. The custom field needs to be a string field with a 64 character limit.
Example
- MilestoneComp# - If you would like a milestone to be completed upon the user hitting "submit" on the Workflow when all errors have been cleared, change the text on the label to the milestone name that you would like completed.
Example
When adding new tabs to your hub, make sure that all your Configuration Points have the appropriate ControlId(s) set in the input form buider. Once added, substitute the "#" for the appropriate Wokflow number. All parameters above have been referenced by their respective ControlId(s).
If you would like to add additional Workflows, that do not already exist in your environment, please reach out to support@maceinnovations.com
